Privacy Policy

This policy explains how Clean Financial Group ("we," "us") collects, uses, stores, and shares personal information through our website, client portal, and related services (the "Services").

This is separate from, and does not replace, the consent we ask for under Internal Revenue Code §7216 before using AI to help analyze your tax return information — see Section 4 below. If you're a client, you can review or change that consent anytime from your dashboard.

1. Information We Collect

We do not knowingly collect payment card numbers or bank account login information through the Site — please don't upload or send us that information through the intake form or document upload.

2. How We Use Information

To provide the Services (preparing your return or case, tracking status, generating internal draft worksheets for your preparer's review, and communicating with you); to operate and secure the Services (authentication, fraud/bot prevention, troubleshooting); to send service communications (case updates, password resets); and to comply with legal and professional recordkeeping obligations.

We do not sell your personal information, and we do not share it with third parties for their own marketing purposes.

4. AI-Assisted Document Analysis

When you or your preparer upload a document, and you've given consent, its content is sent to Anthropic (maker of the Claude AI model) via API to extract structured information — for example wages, withholding, or notice deadlines — and to draft a preliminary summary. This only happens if you've consented under IRC §7216 — if you decline, or haven't yet answered, your document is stored securely and reviewed manually by a preparer instead. You can view or change your answer anytime from your client dashboard.

The AI's output is always a draft for internal preparer review — it is never shown to you unreviewed, and is never tax advice.

5. Data Retention

We retain client records for as long as needed to provide the Services and to comply with applicable recordkeeping requirements for tax preparers, which can require retention for several years after an engagement ends.

6. Your Rights

Depending on your state of residence, you may have rights to access, correct, or request deletion of your personal information. To exercise these rights, contact makjoylouis@gmail.com. Note that we may be required to retain certain tax records even after a deletion request.

7. Security

We use industry-standard measures including encrypted storage, hashed passwords, rate-limiting on login endpoints, and per-preparer access controls that limit which staff can see which clients' data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

The Services are not directed to children under 18.

9. Changes to This Policy

We may update this policy from time to time. Material changes will be posted here with an updated effective date.
